Communications Committee Meeting

May 23, 2016

The Village of Riverlea Communication Committee met on the above date at 5830 Falmouth Court, Village of Riverlea, Ohio. The following members were present: Jody Jones, Ryan Mehl and Josh Schoenberger. The meeting was called to order at 7:00 pm.

Minutes

Mehl moved and Albert seconded a motion to approve the minutes from the previous meeting. The motion carried (4-0).

Potential Use of a Village Phone for communication

The Committee discussed the potential use of a Village cell phone for text communications to residents. Jones agreed to follow up with Village staff to determine if the Mayor had phone or if there was a budget for paying a phone bill.

Mehl reported on investigation of other options for communications. Mehl reported that AT&T was $45 per month and T-Mobile would cost $50 per month for a simple service that would provide the Village with text capabilities. The service called “Code Red” used by other municipalities cost $5,000 annually. This service was financially untenable and offered more amenities than the Village needs.

Regarding text messages, the Committee agreed that we needed an option where residents couldn’t “reply all” or otherwise return communications via text. In addition, the Committee wants the capability to provide a link via text so the residents can access more voluminous information easily.

Budget

The Committee decided to request an initial budget of $500 from the Village Council.

Riverlea Information Collection Update

Jones agreed to continue to update the spreadsheet that contains the previous information for Village residents. As previously stated, the Committee decided to focus on the compilation of the following information from residents:

  • Name
  • Nickname
  • Address
  • Email 1
  • Email 2
  • Cell Phone 1
  • Cell Phone 2
  • Home Phone

Every resident will be permitted to make an entry.

The Committee agreed to make an initial attempt to update the resident information list by sending an email to the current roster and requesting residents provide or update their information on the website. Jones will work to set up the website to allow residents to provide or update their information. There will also be an attempt to inform residents via the Riverlea Facebook page.

Next Meeting Announced

No meeting was set as the summer schedule was difficult to navigate and two Committee members were missing.

Mehl moved and Schoenberger seconded a motion to adjourn. The motion carried (3-0). There be no further business, the meeting was adjourned.
