Communications Committee Meeting

April 13, 2016

The Village of Riverlea Communication Committee met on the above date at 5830 Falmouth Court, Village of Riverlea, Ohio. The following members were present: Jody Croley Jones, Scott Gordon, Renee Albert, Ryan Mehl and Josh Schoenberger. The meeting was called to order at 7:00 pm.

Nomination of Committee Chair

The Committee members discussed Jones for nomination of the Committee Chair. Gordon moved and Schoenberger seconded a motion to nominate Jones for Committee Chair. The motion carried (4-0, Jones abstained).

Minutes

Jones requested someone volunteer to take minutes. Schoenberger volunteered to take minutes and assumed said duties.

The Committee agreed that it would gather contact information from all residents of the Village of Riverlea in an effort to better communicate with the residents regarding Village events, emergencies, the need to close roads during the upcoming infrastructure improvements and any other necessary information. The Committee, at this time, chose not to prioritize a newsletter or any other scheduled communication. The Committee agreed to consider monthly communications in the future. The Committee also discussed the possibility of providing surveys for resident consideration and feedback in the future.

The Committee discussed the most efficient manner in which to gather contact information from residents. Jones agreed to continue her efforts to locate a list of contact information previously compiled, but not recently updated. The Committee discussed initially trying to get residents to update their contact information through the Village website. Thereafter, the Committee would focus on obtaining contact information from the remaining residents by other means. Albert agreed to investigate the cost of a mailer to residents about providing contact information. Mehl agreed to investigate the cost of a text based communication service. Schoenberger agreed to investigate the cost of a yard sign to encourage residents to provide contact information.

The Committee agreed that a text based communication service would be the most efficient means of communication. The Committee also agreed that texts were more likely to be received and read by residents. However, the Committee discussed other means of communicating with those residents who don’t text or prefer other means of communication. For those residents that don’t communicate electronically, the Committee discussed obtaining “door hangers” that allow one to write in important information.

The Committee decided to focus on the compilation of the following information from residents:

  • Name
  • Address
  • Email
  • Alternative email
  • Cell Phone
  • Alternative Phone

Next Meeting Announced

The next meeting was scheduled for 7:00 pm on Monday, May 2, 2016 at 5830 Falmouth Court, Village of Riverlea, Ohio.
