Communications Committee Meeting

August 29, 2016

The Village of Riverlea Communication Committee met on the above date at 5830 Falmouth Court, Village of Riverlea, Ohio. The following members were present: Jody Jones, Ryan Mehl and Josh Schoenberger. The meeting was called to order at 7:00 pm.

Obtaining a Cell Phone for the Village

The Committee agreed to obtain a cell phone contract for the Council’s consideration at the next Council Meeting. Schoenberger agreed to work with a business contact at Verizon to obtain a potential contract. Ideally the cell phone service provider will allow the Village to organize a group text and subgroups by street to assist Village staff, Council and the Committee to communicate quickly, efficiently and effectively. Further, the goal is to allow for communication from a computer rather than all communication being done via phone. The service must have the capability to send texts to groups with 500 entries. ommittee wants the capability to provide a link via text so the residents can access more voluminous information easily.

Budget

It was announced that the Village Council had approved a budget of not to exceed $1000.

Riverlea Information Collection Update

The Committee obtained a document from Burgess and Niple indicating the contractor’s general responsibilities relative to communication. It appears that the contractor will take the responsibility to notify residents when work will disrupt utility services or access. This will likely be done via road signs and staked signs in residents’ yards. The Committee will stress to the Council that this is an important clause that we should ensure is included in any contract.

If the contractor(s) undertake the responsibility to inform residents of specific information, the Committee agreed that the use of door hangers and yard signs may be unnecessary. The Committee put the development of yard signs and door hangers on hold at this time.

Mehl agreed to develop a communication template / form in Word or in Google Documents. Jones will provide Mehl with the Riverlea Logo. This will be a document Council and staff will be able to use to communicate with residents.

Albert will be tasked with developing an information request sheet on 8 ½ X 11 paper to be distributed to residents directing them to the website to update their contact information or updating the information by returning the paper form to a Committee member. The Committee agreed to see if we could fit two forms on 8 ½ X 11 paper if possible. Schoenberger agreed to print the forms off at his office to save costs.

Jones agreed to continue to update the spreadsheet that contains the previous information for Village residents. Jones hopes to have the spreadsheet ready for the website by the next meeting.

Next Meeting Announced

The next meeting was scheduled for Tuesday, September 27, 2016, at 7:00 pm, at 5830 Falmouth Court, Village of Riverlea, Ohio.

Mehl moved and Schoenberger seconded a motion to adjourn. The motion carried (3-0). There be no further business, the meeting was adjourned.
